SUMMARY OF ROLE

Responsible for end-to-end partners and customer support and maintaining the relationships with Maxeon customers in Japan, which includes opportunity/lead management, and fulfillment/order management. This position will also provide overall support to Regional Sales Managers (RSM) to manage customer-related issues and sales administrative work.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES (Other duties may be assigned)

Opportunity/Lead Management:

  • Process potential sales opportunities by providing product information, and maintain and build customer relationships
  • Own, qualify, and manage Leads and Opportunities (Lead Management)
  • Create and maintain master data for partners/customers
  • Accurately log customer-related information/notes and quote approval requests in Customer Relationship Management (CRM) system, Salesforce.com
  • Handle inbound and outbound calls and emails responding to customers inquiries

Order Management and Fulfilment:

  • Support Purchase Agreement (PA) and Proforma Invoice creation, and PA signature
  • Receive and qualify customer Purchase Orders (PO), check PO against allocation, and book customer orders into ERP system (Oracle)
  • Send sales order confirmation to the customers within specified SLA
  • Update and maintain existing sales orders, and ensure accuracy of sales order information
  • Coordinate timely payment of orders with customers, Sales and/or Accounts Receivable team
  • Manage delivery requests by customers, arrange deliveries by sending delivery instructions and Electronic Data Interchange (EDI) signal to Maxeon’s 3rd Party Logistics provider (3PL), and ensure timely order closure and invoicing
  • Own the On-Time Delivery (OTD) of customer orders, being accountable for customer satisfaction for the order to cash cycle
  • Act as customer-first point of contact for delivery problems, and coordinate resolution with 3PL
  • Send Go signal to Logistics team to arrange shipments to customers in Japan
  • Generate Commercial Invoice, Packing List and Flash Test Data report, and ensure all customer-facing shipping documentation is correct and delivered to customers and/or customers’ forwarder on time
  • Monitor orders that are for closing for proper revenue recognition
  • Handle customer Return Materials Authorization (RMA)
  • Maintain complete documentation for orders and RMA in appropriate location according to the company requirements
  • Coordinate with 3PL for the weekly scheduled materials for receipt and shipment

Sales Support and General Tasks:

  • Handle partner inquiries and complaints according to the case management process and the company policies
  • Provide support to RSM, and work closely with them to manage customer-related matters
  • Participate in continuous improvement of Operations and User Acceptance Testing (UAT) on systems
  • Generate reports on metrics and key performance indicators, such as OTD
  • Ensure all activities are compliant with policies and controls
  • Perform ad-hoc tasks as required by Supervisor/Manager
  • Support on operational / audit requirements translations (ex. email templates, operational presentations, letters, agreements with customers/partners, etc.)

 

RELATED EXPERIENCE AND EDUCATIONAL REQUIREMENTS

Minimum Requirements

  • A university or college degree in a relevant field or equivalent
  • Min. 5-year experience in Order Management, Logistics, Customer Care, Sales Support, or related field
  • Knowledge of INCOTERMS and international trade
  • Proficient with MS Office Application esp. Excel, PowerPoint, and Outlook
  • Oracle ERP and/or Salesforce.com experience is a plus
  • Required language(s): Fluent in Japanese. Business level English
  • Excellent Communication Skills both written and verbal, and Good Organization skills
  • Ability to be extremely proactive and drive for results
  • Ability to be flexible and go beyond the everyday job requirements to get the problem solved
  • Ability to solve issues independently, but escalates appropriate issues when necessary
  • Relationship Management - Able to develop rapport with others and recognize their concerns and feelings; build and maintain long-term associations based on trust
  • Attention to Details - Able to be alert in a high-risk environment; follow detailed procedures and ensure accuracy in documentation and data; concentrate on routine work details and organize and maintain a system of records

 

OTHER PERTINENT INFORMATION

  • Location: Maxeon Japan – Tokyo
  • This is a full-time position
  • The candidate must be legally entitled to work and reside in Japan
  • Applicants must be willing to render overtime as business
